Description
Interlochen Center for the Arts is looking to hire an IP Facilities and Calandar Assistant for 2019 Interlochen Arts Camp. The dates of the agreement are 6/3/19-8/18/19 and the stipend for the entire duration is $3,272. Housing is provided for the dates contracted (early arrival/late stay requests, if space is available, will be paid in full by the employee). All meals are included in your agreement- breakfast, lunch, and dinner when the cafeteria is open. The IP Facilities and Calendar Assistant shall assist in planning, organizing, and coordinate of the summer facilities and the summer high school ensembles camp visits to Interlochen in August. Some evening and weekend work will be required. August timeframe will require a heavy workload.  

Major Duties and Responsibilities:
  • Assist in communicating with camp faculty and staff about venue scheduling.
  • Assist the Calendar, Facilities and Rental Coordinator in developing and maintaining content management tools to track administrative needs. This includes forms, spreadsheets, program timelines, etc.)
  • Assist in communicating with high school ensembles rentals, under a strategic communications plan, regarding ensemble and site logistic needs for their August visit.
  • Work with Interlochen staff across campus to assist with high school ensemble pre-planning. This includes, but is not limited to working with safety, camp life, health services, transportation, lodging, dining, maintenance, stage services, and mailroom staff.
  • Serve as main point person while ensembles are onsite to assist in managing and troubleshooting site logistics alongside Interlochen staff.
  • Develop and update appropriate communications materials needed by high school ensembles and Interlochen staff.
  • Provide general day-to-day support to help operate the office. This includes, but is not limited to: answering phones, filing, creating and updating program materials, data entry, copying, and staffing the office.
  • The High School Rental Intern will also perform general administrative and any other duties as assigned.
  • Must have the ability to work under the pressure of deadlines and time constraints.
  • Office environment is subject to frequent interruptions and continual deadlines.

  • Ability to work under pressure, manage multiple needs, problem solve, and set priorities for the successful management of the High School Ensembles.
Qualifications:
  • Ability to handle frequent interruptions and continual deadlines while maintaining a high level of customer service and commitment.
  • Will be expected to prepare documents, materials or other resources as necessary, but must run them by the Calendar, Facilities and Rental Supervisor for approval, depending on the task.
  • Highly organized with the ability to handle multiple tasks simultaneously while maintaining a high level of customer service.
  • Comfortable with a changing work environment.
  • Excellent oral and written communication skills.
  • Training and/or experience in event planning and/or arts administration.
  • A background in the arts, especially in ensemble management or high school band programs, is highly desirable.
  • Light to moderate physical activity including walking long distances and lifting heavy equipment such as boxes, tables, and chairs will be required.
  • May be required to work at computer workstation for extended periods of time.
  • May be required to walk, work outdoors, drive a golf cart or other vehicle, or work in various locations from time to time.
